I am writing to let you know about an upcoming change in the way that Faculty, Librarians and Research Associates receive their monthly pay statements. As a part of a strategy to “green” the HR portfolio, reduce costs and better meet employee needs, we will be eliminating paper pay statements for staff appointed Faculty, Librarians and Research Associates effective with the May 2009 payroll. As of May 2009, members of this group will access their pay statement online via Employee Self-Service (ESS).

Faculty and most staff groups have had access to ESS since 2004 as a convenient way to access their personal employment-related information from a computer at home or work. In May 2007, Professionals/Managers and Confidential employees stopped receiving paper pay statements and began accessing their pay statements online through ESS. Then in April 2008, USW monthly staff appointed employees began accessing their pay statements via ESS.

We plan to notify all faculty, librarians and research associates of the change in March, April and again in May. In addition, during March we will re-send the user ID information to those who do not regularly access ESS/CB Connect and provide assistance for those who need password re-sets and help logging on. We will also remind Mac users that they will need to use Internet Explorer 7 or Firefox 2 browsers.

For those who may not wish to receive pay statements online, there will be an opt out process. However we hope that few colleagues will opt out given the positive benefits of moving online – namely increased accessibility, the ability to obtain the prior year’s statement and reduction in the use of paper.
